Profile Settings: A Complete Guide

What can I do on the Sybill Profile Settings page

Sybill Settings are designed to make it simpler, more powerful, and more intuitive for both individual users and admins. This guide walks you through all the new sections, explains how they work, and highlights common use cases so you can make the most out of the platform.


Navigation: A Cleaner Settings Structure

We’ve reorganized Settings into two main sections:

  • Personal Settings: For individual users to control their preferences

  • Admin Settings: For organization-wide configurations (visible only to admins)

This change helps everyone quickly find the right controls based on their role.


Personal Settings

My Profile

This section includes:

  • Name and Email (non-editable)

  • Current Time Zone: Helps personalize your experience, including meeting times and AI behavior

  • Function & Role: Please make sure this is filled out during onboarding. It helps tailor AI insights based on your job (e.g., sales, product, CS)

  • LinkedIn URL: Auto-filled, but editable

  • About Me: You can use this to tell the AI more about you (e.g., background, preferences, responsibilities). Auto-fill coming soon!

  • Delete Account: You now have the ability to self-delete your Sybill account. There is a 30-day grace period in case you'd like to recover it. Please proceed with caution.

Email & Calendar Integration

  • Email and calendar must be connected for Sybill to function effectively.

  • You can manage your consent from this section.

  • Admins may soon have the ability to restrict this option for enhanced security.

My Meetings

This includes:

  • Meeting Box Name

  • Recording Settings (e.g., transcription language, video behavior, etc.)

  • Share Settings: Decide if your meetings should be shared within your company.

Please note:

  • If anyone in a meeting has sharing enabled, the meeting is shared (unless someone has explicitly marked it private).

  • Similarly, if anyone has recording turned on and no one has explicitly turned it off, the note-taker will join.

  • If even one person has explicitly opted out, the note-taker will not join.

Notifications

We've separated out:

  • Email and Slack notifications

  • Summary delivery preferences

You’ll be able to control which communications you want to receive. Please keep these updated to avoid missing critical information.


Admin Settings

Company Profile

  • Company Name, Website, and Domains

  • About Company (used for AI personalization)

  • Danger Zone: Admins can now delete the entire company account with confirmation and a 30-day buffer

Company Meetings

  • Admins can control all team members’ recording and sharing settings

  • Use "Apply to all team members" to lock a setting organization-wide

Important:

  • If a meeting has mixed settings (e.g., one user shares all, one shares none), the meeting is shared unless someone explicitly marks it private.

  • This design helps reduce missed All-Hands and collaborative calls.

Record & Import

Admins can now:

  • Lock down who can record or import meetings

  • Set team-wide defaults

This is especially useful for RevOps and leadership who want CRM data consistency.

Team Members

  • Clearly separated Active, Pending, and Deactivated members

  • Admins can now deactivate users directly without needing support

  • New setting: Require Admin Approval for New Signups to prevent unapproved users from joining the workspace

Slack, Gong, Chorus, and Other Integrations

  • Slack channel visibility is controlled from within Slack, not Sybill

  • Upcoming changes will make CRM and AI Studio more visible and self-service friendly


Coming Soon

  • Admins will be able to view and edit user-level settings

  • AI Studio will become a main navigation tab for better visibility

  • CRM integration redesign in 10 days

  • More flexibility around public link sharing and consent notices


Use Cases

  • RevOps wants all external sales calls in CRM? Lock meeting sharing to "external meetings only" and apply to all team members.

  • Sensitive 1:1 meetings between execs? Individuals can mark those meetings private to override shared settings.

  • Slack channel confusion? Add a tip that Slack visibility is handled inside Slack, not from Sybill.


FAQs

Q: Can I stop team members from deleting their accounts?
A: Not directly today. However, admins will soon be able to control visibility of that button.

Q: What happens when someone deletes their account?
A: The account enters a 30-day cool-off period during which it can be recovered. After that, it’s fully deleted.

Q: I want only certain teams to share meetings with each other. Possible?
A: Not yet. Team-level visibility isn't available. Right now, it’s either user-level or company-wide.

Q: Can admins turn off the option to email summaries to external participants?
A: That control is coming soon.

Q: Are Slack controls managed in Sybill?
A: No. Slack visibility is entirely managed from within Slack itself.


Troubleshooting

1. Note Taker not joining calls?
Check if anyone in the meeting has explicitly turned off recording. That will prevent the note taker from joining.

2. My meetings aren’t being shared. Why?
If all participants have sharing off, the meeting won't be visible. Ensure at least one person has it on.

3. Can’t change email/calendar integration settings?
These might be locked by an admin. Please contact your workspace admin for access.

4. Someone joined the org without permission.
Enable "Require Admin Approval for Signup" in Admin Settings to prevent unauthorized joins.

5. Meeting summaries sent to external participants without consent?
Check "My Meetings" > toggle off "Send summary to participants".
