How to transfer a recorder license from one user to another

If you need to transfer a Sybill recorder license from one user to another, you can easily accomplish this by following these steps:

1. Assessing License Availability:

Before initiating the license transfer, ensure that you have an available license seat to accommodate the new user. You can check the license availability by navigating to the "Team Management" section of the Settings section.

2. Designating a Current User as a Collaborator:

In case you have used up all of your Recorder seats, you'd need to either buy more Recorder seats or downgrade a Recorder to a Collaborator.

If you choose to do the latter, here's how you can assign an existing Recorder to a Collaborator, effectively disabling Sybill from recording any of their calls in the future:

  • Access your Sybill account and go to the "Team Management" section in Settings.

  • Locate the user whose license you want to transfer.

  • In the License column, use the drop down menu to toggle from “Recorder” to "Collaborator" or “Deactivated”.

  • By changing an existing Recorder to a Collaborator or by deactivating their license, a new Recorder seat will be freed up without making any license or billing changes.

3. Adding a New User:

If you don’t want to change roles and simply add a new user to Sybill, follow these steps:

  • To add a team member, navigate to the Settings > Team Management section of your Sybill account.

  • Click on the "Add Members" button to initiate the process.​

  • Enter the email address of the team member you wish to add. Make sure to use their valid and active email address.

  • Choose the appropriate user license type (Collaborator or Recorder) for the team member.

  • Note: if you are trying to add a team member as a Recorder and don’t have more Recorder seats provisioned, you would have to purchase seats first, and then assign specific Recorder licenses to those seats.

  • After adding a team member, Sybill will send an email invitation to the provided email address.

  • The invitation email will contain instructions for the team member to join Sybill and set up their account.

  • It's important to ensure that the team member receives the invitation email and follows the instructions to join Sybill successfully.
