Using the AI Email for Follow-ups: A complete guide

Sybill drafts personalized follow-up emails from your meetings, in your own writing style, so you can send a thoughtful follow-up minutes after the call ends.

Generate a follow-up

  1. Open the meeting in Sybill.

  2. Click Draft my follow up in the top right of the meeting page.

  3. Review the draft, edit anything you like, and send it through your email client.

Sybill detects ongoing threads and the right recipients, adapts to your writing style over time, and drafts are never sent automatically: you always review first. Sybill can also draft follow-ups as tasks (see your Tasks page) when a conversation is waiting on you.

Email templates

Templates control the structure and tone of your follow-ups. Manage them on the AI Workflows page under the Email tab:

  • Build from scratch with the prompt editor. You can personalize with variables (#VARIABLE), custom instructions, and plain text.

  • Generate from email samples: Provide at least 3 sample emails and Sybill drafts a template in your voice.

  • Auto-generate via CRM: Let Sybill build one from your CRM context.

  • Each template appears as a card; mark one as Default (shown with a star) to use it automatically. The built-in "Follow-Up Template (by Sybill)" learns your style from past emails.

Tips

  • Connect your email (Settings > My Emails) so drafts account for what's already been said in the thread.

  • Different templates suit different situations: a short recap for check-ins, a detailed one for demos. Pick per meeting or rely on your default.
