Sybill offers different user roles and permissions to ensure smooth collaboration and efficient use of the platform. This guide provides an overview of the various user roles and their corresponding permissions, along with instructions on accessing meetings and recordings based on different roles. Additionally, we'll cover how to unlock locked meetings in case you encounter any restrictions.

Let's explore each topic in detail:

Difference between Collaborator and Recorder License Types

The Collaborator and Recorder license types serve different purposes within Sybill. Understanding their distinctions helps you assign the appropriate license type to each team member. Here's a brief comparison:

  • Collaborator: Collaborators have access to meeting recordings and summaries shared with them. They can view and share Sybill meeting dashboards of their teammates within the permitted settings. Typically, you’d assign the teammates who won’t be taking calls as collaborators - for example, if you are licensing Sybill for your customer-facing teams, then the software development or user research team might be added as collaborators.

  • Recorder: Recorders have additional capabilities compared to Collaborators. They can initiate and record meetings directly through Sybill. Recorders have access to all their own recordings and can manage them, including sharing, creating snippets, and more. Recorders also have the ability to view and share recordings shared with them.

This picture shows what you see in your Settings > Billing > Team Management, where admins can change the license type of each user from Recorder to Collaborator or vice versa.

Note: you only pay for the recorder seats in Sybill. Collaborators are free.

Accessing Meetings and Recordings as Different License Types

Depending on your assigned license type in Sybill, the process for accessing meetings and recordings may vary. Here's how you can access them based on your role:

  • Collaborators: As a Collaborator, you can access meetings and recordings that have been shared with you. Log in to your Sybill account, navigate to the "Team Meetings" tab, and filter or search for the specific meeting or recording you want to access. Click on the respective entry to view its details and content.

  • Recorders: Recorders have access to all their own recordings by default. To access your recordings, log in to Sybill and go to the "Meetings" page. Here, you can browse, search, and manage your recordings under "Your Meetings". To access meetings recorded by other team members, you can go over to the “Team Meetings” tab, and open meetings that you have access to (which may be a subset of the meetings recorded by your teammates).

Difference Between Admin and Member Roles

User roles are of two types in Sybill: admin and member. They only differ in access to (a) admin settings, and (b) billing settings. Admins have access to both of the above, and members don’t have access to them.


Please note that the admin/member role difference doesn’t impact access to meetings whatsoever. It only impacts the ability to configure team-wide settings like Integrations and Blocked Domains, and Billing and Team Management.

You could have a recorder or a collaborator admin, and similarly for members.

Understanding the different user roles, license types, and permissions in Sybill ensures efficient collaboration and secure access to meetings and recordings. Collaborators and Recorders have distinct capabilities within the platform, and accessing meetings and recordings depends on your assigned license type.
