How to ensure you have consent and the meeting participants are comfortable with recording the call

As a user of our Sybill call recording platform, it's important to inform your call participants that the call will be recorded. This can be done by either

  • turning on call recordings in Zoom, which prompts each user for their consent, or

  • by informing them at the start of the call that an automated notetaker (Sybill) will be recording the conversation.

What do I say about the reason for recording the call?

We have observed that being upfront about the purpose of the Notetaker, i.e., that it will record the conversation, breaks the ice, and eases any discomfort in the call. You can let the participants know that:

  • The notetaker allows you to focus on the conversation, instead of scrambling to take notes during the call.

  • You can share the call recording and/or notes after the call with the clients if they are interested so that they have a record of the call as well.

Offering to share the call recording afterward typically helps make all parties feel comfortable with it and give consent.

Even after sharing the purpose of the notetaker, if one of the parties doesn't consent to be recorded, you can eject Sybill from the call with just a couple of clicks.

How to remove Sybill Notetaker from a call if recording consent is not given

  • Go to your Sybill homepage, i.e. https://app.sybill.ai.

  • You would see the currently ongoing meeting under "Upcoming Meetings" in the rightmost column with a red "Live" sign.

  • Turn off the toggle next to it. It will turn from green to grey and the Sybill Notetaker would leave the call in a couple of seconds. The call would then no longer be recorded by Sybill.
