Preferences for the call recording behavior on Sybill

What are my options for changing the default recording behavior of Sybill?

By default, Sybill will join all the meetings on your calendar that have a valid Zoom, Google Meet, or Microsoft Team link. You can change the joining preferences to any of the following choices:

  1. Join all meetings
    This is the most widely used default setting. You should set the default behavior to this least restrictive option and exercise finer controls on individual meetings from the "Upcoming Meetings" tab.

  2. Join only external meetings
    This setting is useful if you have a lot of redundant or internal meetings that you don't want to record on Sybill. The definition of "external calls" is provided below.

  3. Join only meetings that I organize
    Choose this option if you want Sybill to only join the calendar events that you have created or if you are the organizer. Please note, that this setting doesn't distinguish between internal and external calls.

  4. Don't join any meetings by default
    This is the most restrictive option that limits your ability to realize the full potential of using Sybill. When turned on, you have to manually add Sybill to meetings that you want to record, update CRM insights, and take follow up actions on.

How are meetings classified as external or internal?

Sybill considers a meeting to be external if there is an invitee with an email address ending with a web address (or domain) that is not a part of your internal domains.

For example, if you have signed up to Sybill using your email as mary@acme.com, then acme.com is your internal domain.

You can also add/edit your internal domains on the ‘Settings > Profile’ page.

Who does Sybill classify as ‘Guests’?

Often, you take calls with members of organizations you work closely with but they are not from your company. When added as ‘Guests’ on the ‘Settings > Profile’ page, Sybill will treat those calls as internal and not external. Here, you also have the option to treat those with public email addresses (gmail.com, yahoo.com, outlook.com) etc as internal users.

Why is Sybill not joining some of my external meetings, although my setting is "Join only external calls"?

Sybill may not join your external calls because of 2 main reasons:

  1. The external invitee has an email from a public email provider (aka domain) such as gmail.com and your preference is set to ignore these public domains as external domains.
    You can fix this by toggling this setting under your ‘Settings > Profile > Guests’ section. Once toggled, Sybill will start considering these public emails as external invitees.

  2. You may have declined or responded No to the email invite.

  3. The meeting invite does not have a meeting link from Google Meet, Zoom, or MS Teams.

How can I prevent Sybill from joining any meetings with a certain organization?

How to use the Block List on Sybill

You can add/edit the list of domains you don’t want Sybill to join under ‘Settings > Call Recording > Block List.’ Sybill would not join any meeting that has an invitee whose email ends with a blocked domain (web address).

For example, if you don't want Sybill to join any meetings with ufo.com, you can add this to your list of Blocked domains, and Sybill won't join any meetings with invitees from ufo.com.

How can I prevent Sybill from joining any meetings with specific individuals?

How to use the Block List on Sybill

The Block List on ‘Settings > Call Recording’ also allows you to stop Sybill from joining any calls with specific email addresses or even meetings with specific titles.

Add these filters and Sybill will not join meetings as per your chosen preferences.

You can enter the email address of individuals whose meetings you don’t want Sybill to join.

You can also add keywords for meeting titles that you don’t want Sybill to join. For example, in the above screenshot, the setting is such that if a meeting title contains ‘Confidential,’ Sybill will not join the call.
