Sybill + HubSpot Integration

Learn how to set up Sybill with HubSpot, and make the most of two important tools in your tech stack as a modern rep.

Sybill's HubSpot integration turns your calls and emails into clean, complete CRM data. Once connected, Sybill automatically fills and updates your HubSpot deal fields after every prospect or customer interaction, so your pipeline reflects what actually happened, without anyone typing notes into HubSpot by hand.

With the Sybill + HubSpot integration, you can:

  • Autofill HubSpot deal fields like MEDDPICC, BANT, next steps, competition, and risks, based on your calls and emails

  • Log meeting activity to the right records in HubSpot automatically

  • Skip manual field mapping: Sybill scans your HubSpot account and recommends the fields your team actually uses

  • Keep entries in your voice: Sybill reads your past HubSpot entries and creates custom AI prompts that mirror your team's style and tone

  • Backfill your pipeline: your last 30 deals are populated as soon as setup is complete

  • Stay current automatically: every new call and email triggers an update, usually live in HubSpot within a few minutes

Before You Begin

  • Sybill permissions: only Sybill admins can configure CRM integrations.

  • HubSpot permissions: you may need admin-level HubSpot permissions to authorize the connection. If your permissions are insufficient, Sybill will direct you to contact your HubSpot admin. To install apps from the HubSpot Marketplace, HubSpot requires Super Admin or App Marketplace access permissions.


Step 1: Connect HubSpot to Sybill

  1. In Sybill, go to Settings > Integrations > CRM.

  2. Select HubSpot.

  3. Follow the authentication prompts and sign in to HubSpot.

  4. Select the HubSpot account you want to connect.

  5. Review the requested permissions on the approval screen. Sybill needs these permissions to read your pipeline structure, understand which fields your team uses, and write updates back to your deal fields after each call and email. Your HubSpot account remains the source of truth for your data.

  6. Click Connect app. You'll be redirected back to Sybill and the guided setup will begin.

Connecting takes about a minute.


Step 2: Choose Your Meeting Activity Type

To make sure Sybill's activity shows up in the right place in HubSpot, choose which HubSpot activity type your meetings should be logged under. For most teams, this is Meetings.

Select your activity type and continue.


Step 3: Map Your Pipelines

Sybill maps your HubSpot pipelines to Sybill's deal types:

  • Pipelines for prospects map to Prospect

  • Pipelines for existing customers map to Customer

Review the mapping, adjust if needed, and click Next.


Step 4: Align Your Deal Stages

Sybill aligns your HubSpot deal stages (like Discovery and Demo) with Sybill's normalized sales stages. If anything lands in the wrong place, drag and drop your HubSpot stages into the right bucket.

Click Next when your stages look right.


Step 5: Select the Fields Sybill Should Update

Sybill scans your HubSpot account, identifies your most-used fields, and recommends which ones to autofill. There's no manual field mapping and no setting up properties one at a time. Typical recommendations include deal stage, next steps, MEDDPICC, BANT, competition, and risks.

From here you can:

  • Accept the recommended fields

  • Uncheck any field you don't want Sybill to touch

  • Add, remove, or create custom fields as needed

Tip: there's no technical limit on fields, but we recommend starting with 20 to 30 core fields for simplicity. You can always expand later.

When the list looks right, click Next.


Step 6: Review and Approve Your AI Prompts

Instead of guessing what kind of information you want in each field, Sybill reads your past HubSpot entries, picks up on how your current fields are written, and creates custom AI prompts that mirror your team's style, tone, and points of interest. The goal: every entry reads like an AE actually wrote it.

You can:

  • Review and edit any prompt by clicking Edit Prompt

  • Preview exactly what the output will look like in HubSpot, in the panel on the right side of the screen

Everything is editable, so you stay in control. Once you're happy with your prompts, click Next.


Step 7: Test It on One Deal

Before autofill goes live everywhere, Sybill tests your setup on a single deal:

  1. Click Check in CRM. Sybill fills that one deal based on your calls and emails. This takes about a minute.

  2. Open the deal in HubSpot and review the filled fields.

  3. If everything looks good, return to Sybill, select Yes, and confirm.

That's it. CRM Autofill will backfill your last 30 deals and keep updating your HubSpot fields after every call and email. No manual work required.


How the Integration Works Day to Day

CRM Autofill is fully automated once configured:

  • After every call and email, Sybill updates the mapped fields on the related HubSpot deal. Updates are generally live in HubSpot within a few minutes.

  • Meeting activity is logged to the activity type you chose during setup.

  • No manual action is required. You can still review and edit any field directly in HubSpot at any time.

Updating your settings later

You can refine your configuration at any time:

  1. Go to Settings > Integrations > CRM in Sybill.

  2. Use the Deal Stages tab to set which fields should populate at which stage.

  3. Review newly recommended fields in the Add Field section. Sybill automatically suggests fields you might be missing.

  4. Click Edit Prompt on any active field to adjust its AI prompt.

  5. Hide default Sybill fields you no longer need (these can be hidden, not deleted).

Look for "Needs Review" badges on fields that no longer exist in your HubSpot account. All updates apply to future synced calls.


FAQs

  1. How often does the integration update HubSpot?
    After every call and email interaction. Updates are generally live within a few minutes.

  2. Will my deals backfill when I first set up?
    Yes. Your last 30 deals will be populated with the configured fields.

  3. Do I need to be an admin?
    Yes. Only Sybill admins can configure the integration, and you may need admin-level HubSpot permissions to authorize the connection.

  4. What are custom prompts?
    Field-specific instructions that guide Sybill's AI on how to generate content for a HubSpot field. You can write your own or use Sybill's suggested defaults.

  5. How many fields can I autofill?
    There's no technical limit, but we recommend starting with 20 to 30 core fields.


Troubleshooting

  • Fields aren't syncing. Confirm the field still exists in HubSpot. If it doesn't, remove or remap it inside Sybill. Fields that no longer exist show a "Needs Review" badge.

  • Prompt results seem off. Click Edit Prompt on the affected field and revise the prompt language to be more specific.

  • I skipped the onboarding banners. Banners display only once, but you can access setup at any time through the Summary page or CRM Integration page.


Disconnect HubSpot from Sybill

  1. In Sybill, go to Settings > Integrations > CRM.

  2. Click on Settings next to HubSpot, scroll down to the bottom and click Disconnect.

  3. Confirm when prompted.


​What happens to your data: once disconnected, Sybill stops logging activity and updating deal fields in HubSpot. All data Sybill has already written to HubSpot stays on your HubSpot records.


Uninstall Sybill from Your HubSpot Account

To fully remove Sybill from HubSpot:

  1. In HubSpot, click the settings icon in the main navigation bar.

  2. Go to Integrations > Connected Apps.

  3. Find Sybill, click Actions, then select Uninstall.

  4. Follow the confirmation prompts.

What happens to your data: uninstalling revokes Sybill's access to your HubSpot account. Data previously written by Sybill remains in HubSpot. Your call recordings, summaries, and deal intelligence remain available in Sybill.
