Sybill's Invisible Recorder: Install desktop app, record calls & use key features

The Sybill desktop app helps you automatically capture meetings across Zoom, Meet, and Teams. This guide walks you through installation, setup, recording behavior, and how to navigate meeting outputs inside Sybill.

Sybill's Invisible Recorder is a desktop app that records your calls directly from your computer, with no bot joining the meeting. This guide walks you through installing the app, recording calls, and choosing when Sybill uses the Invisible Recorder versus the Bot Recorder.

Download and install

  1. In Sybill, go to Settings > Invisible Recorder and click Download for macOS. The desktop app currently requires a Mac with Apple Silicon (M1 or newer).

  2. Move the app to your Applications folder and open it.

  3. Sign in with Google or Outlook.

Please note: when using the Invisible Recorder, you are responsible for informing attendees that your meetings are being recorded in compliance with applicable laws.

New user? Connect your calendar and email

Sybill will prompt you to connect:

  • Your calendar (to associate recordings with events)

  • Your email (to provide context for summaries, briefs, and follow-ups)

These connections help Sybill fully automate meeting logging, summaries, and deal context.

Allow desktop permissions

When prompted, please grant permissions so Sybill can:

  • Capture meeting audio

  • Capture video and screen-sharing

  • Overlay recording controls while you work

These permissions ensure the desktop app can record meetings without manual setup.


Choose when the Invisible Recorder is used (Recorder Priority)

Sybill can record a meeting either with the Bot Recorder (the notetaker that joins the call) or with the Invisible Recorder (the desktop app). You control which one is used first from Settings > My Meetings > Recorder Priority.

  • Sybill records with the first enabled recorder in the list, and falls back to the next one if the first cannot record.

  • Drag the rows to reorder Bot Recorder and Invisible Recorder.

  • Turn a recorder off to stop using it entirely.

Recorder Priority replaces the earlier Invisible Recorder on/off toggle in settings.

A few things to keep in mind:

  • Admins set the company-wide default order in Settings > Company Meetings. Turning off the invisible recorder there disables it for everyone on the team.

  • If your admin has enforced these settings, the controls appear locked in My Meetings. Please reach out to your admin if you need a change.

  • If the Invisible Recorder is first but the desktop app is not installed or running, Sybill can fall back to the Bot Recorder so the meeting is still captured.


Recording meetings with Sybill

Once installed, Sybill automatically detects and records:

  • Zoom meetings

  • Google Meet calls

  • Microsoft Teams meetings

  • Slack Huddles

Recording status indicator

The recording icon in the app shows your current status:

  • Black: Not recording

  • Blue: Active recording

This ensures you always know whether a session is being captured.

Manual recording

You can also manually record:

  • In-person meetings (audio only)

  • Non-detected calls via the "Start Audio Recording" option


Visibility Mode (hide Sybill during screen sharing)

Sybill includes a Visible Mode setting:

  • ON: The Sybill app is visible on your screen and to participants during a share.

  • OFF: Sybill becomes hidden to others while still functioning normally.

This is helpful when sharing your screen and keeping Sybill out of view.

Managing upcoming meetings

From the Sybill app menu, you can:

  • View all upcoming meetings

  • Click Join to jump directly into the call

  • Open the Pre-Meeting Brief for any scheduled meeting

This allows easy preparation and quick access without switching apps.


After the call: viewing your meeting in Sybill

  1. Click Stop Recording in the Sybill app.

  2. The recording uploads automatically.

  3. After processing, the meeting appears in your Sybill dashboard.

Your meeting dashboard includes:

  • Full video recording

  • Participant timeline

  • AI-generated summary

  • Action items and outcomes

  • Qualification insights (customizable)

  • Speaker-identified transcript (actual names, not "Speaker 1")

  • CRM deal association (auto-linked via calendar when applicable)


Using Sybill in your day-to-day workflow

Recordings from the desktop app work with everything else in Sybill:

  • AI follow-up emails: Generate a personalized follow-up from any meeting. Sybill adapts to your writing style, detects ongoing threads, and lets you edit the draft before sending.

  • Ask Sybill: Ask questions across your meetings, emails, and deal context, such as "What did we discuss last with Mary?" or "Summarize all interactions for this deal."

  • Pre-Meeting Briefs: A customizable brief for every upcoming meeting with past interactions, participant bios, company background, recent news, and suggested talking points.

  • Automated tasks: Sybill extracts tasks from your calls and emails, keeps the source context attached, and can execute tasks such as drafting an email or creating a calendar invite.
