This guide will help you understand the AI Workflows page (formerly known as AI Studio): what lives there, how to navigate the new experience, and how to customize the Summary workflows consisting of the Pre-meeting Brief, Meeting Summary, and Deal Summary.
What is AI Workflows?
AI Workflows is where you customize and automate the AI work Sybill does for you: intelligent summaries for your sales and customer conversations, automated prompts that run on a schedule or trigger, and AI email workflows. You will also find your saved prompts for Ask Sybill and your email templates here.
The page is organized into tabs so every workflow has its own home:
All: Everything in one view
Summary: Pre-meeting Brief, Meeting Summary, Deal Summary, Company Summary, and Deal Autofill
Prompt: Saved and automated prompts for Ask Sybill
Email: AI email workflows and templates
Template library and team resources
Browse template library: Open the full template library in the product and quickly add templates. You can filter by role, use case, and workflow type to find a starting point that fits your job.
Your prompts vs. team prompts: Prompts shared by teammates no longer appear mixed into your personal list. Team resources are listed separately, and you can add prompts your teammates have shared from there.
Add to team resources: Share a prompt you've built so the rest of your team can use it.
Run history for automated prompts
Every automated prompt keeps a run history. From a prompt's detail view you can:
Open the responses generated by each run
See whether a run failed, along with the reason for the failure
Please note that only the owner of a prompt can view its run history.
Summary workflows
The Summary tab covers the AI outputs Sybill produces around your conversations:
Pre-meeting Brief: Get prepared with context from previous conversations
Meeting Summary: Extract key takeaways and action items
Deal Summary: Get a deal overview with context from all conversations
Company Summary: Get a company overview with context from all conversations
Deal Autofill: Automatically update fields on your deal records in CRM
Each summary type is customizable to your needs, with smart defaults provided by Sybill (referred to as Sybill fields).
Pre-meeting Briefs: Smart preparation for every meeting
The Pre-meeting Brief provides relevant context for your upcoming meetings, pulled from previous calls, CRM data, and web research.
Default Sybill fields
By default, each Pre-meeting Brief includes the following six fields:
Agenda: Overview of meeting objectives
Related Tasks: Any tasks carried over from previous calls
Qualification: MEDDPICC or sales qualification data (only visible for sales meetings)
About the Company: Company description and web-based research
About Participants: Research on meeting attendees
Past Interactions: Summaries of previous meetings with this contact or company
Note: The Qualification field will only appear when the meeting type is set to Sales.
Customization options
Please feel free to customize your briefs:
Add new fields with your own prompt
Choose which meeting types they apply to (Sales, Customer, Marketing, etc.)
Preview them on the right-hand side for any upcoming meeting
This makes it easy to tailor your preparation to specific contexts.
Meeting Summaries: Capture insights post-meeting
Meeting Summaries help you reflect on recorded calls and gather insights for internal reporting, follow-ups, or coaching.
Default Sybill fields
The default fields include:
Meeting Outcome
AI Tasks
Conversation Starters
Qualification (only for Sales meetings)
Pain Points (only for Sales or Customer meetings)
Participants
FAQ (only for Discovery, Demo, or Interview calls)
Key Takeaways
Objections
You can add your own fields and define conditions such as meeting type and stage.
Preview in real time: On the right-hand side of the customization view, you can preview any meeting summary using real data. Please select a recent meeting to test your custom configuration.
Custom field logic and conditions
Custom fields work similarly across Pre-meeting Briefs, Meeting Summaries, and Deal Summaries.
When adding a field, you can:
Define the field title
Write your own AI prompt
Choose which meeting types or deal stages it applies to
Please note that Sybill fields may have certain visibility conditions, as explained above. Custom fields will always follow the conditions you set.
Frequently asked questions
1. Can I remove Sybill's default fields?
Not at the moment. However, please feel free to add your own custom fields and prioritize them in your workflow.
2. Why isn't the Qualification field showing in my Pre-meeting Brief?
The Qualification field only appears when the meeting type is set to Sales. Please check your calendar invite's meeting type tag.
3. Can I preview a summary before the meeting happens?
Yes. Please select an upcoming meeting from the right-hand panel to generate a preview.
4. A prompt shows in my list but doesn't run for me. Why?
Team prompts are now listed separately from your personal prompts, and a shared prompt runs for you only after you add it from team resources. Please check the Prompt tab to see which prompts are yours and which are shared by your team.
5. Can I use these features for non-sales teams?
Absolutely. AI Workflows supports a wide range of meeting types such as Marketing, Customer, Product, Engineering, HR, and more.
Troubleshooting tips
Custom field not showing up
Please double-check the meeting type and conditions set for that field.
Try selecting a different meeting in the preview panel to test the setup.
Preview not loading
Ensure that the selected meeting is an external meeting with participants.
Some previews require call recordings or CRM context.
An automated prompt didn't produce a response
Open the prompt's run history to see whether the run failed and the reason for the failure.
