How to export your calls in case of off-boarding from Sybill

At Sybill, we understand that teams sometimes need to off-board while keeping access to their valuable call recordings. We’re here to help you with that secure transition.

This guide walks you through two secure options to receive your Sybill call recordings: via AWS S3 or Google Drive. Please note that bulk exports are not available within the app itself—you’ll need to follow one of the methods below or reach out to support@sybill.ai.


What’s Included in the Bulk Export?

Included:

  • MP4 call recordings (audio + video)

Not included:

  • Transcripts

  • Next steps

  • Outcomes

  • Other metadata

If you require additional information alongside the recordings, please contact your Sybill representative to explore possible solutions.


Option 1: AWS S3 Transfer

This option is ideal if your team uses AWS and has admin privileges to manage buckets.

Prerequisites

  • Access to your AWS account with administrative privileges

  • Your organization’s primary domain name

Setup Process

1. Create an S3 Bucket

  • Log into your AWS account

  • Navigate to S3 and create a new bucket

  • Name the bucket:

sybill-export-recordings-<your-org-domain>

Example: sybill-export-recordings-google for google.com

  • Under Object Ownership:
    - Select "ACLs enabled"
    - Set ownership to "Bucket owner preferred"

  • Leave all other settings as default

  • Click "Create bucket"

2. Configure Bucket Permissions

  • Navigate to the new bucket

  • Go to the Permissions tab

  • In the Access Control List (ACL) section, click Edit

  • Scroll to Access for other AWS accounts and click Add grantee

  • Add Sybill’s canonical ID:

  • Assign these permissions:
    - Objects: List, Write
    - Bucket ACL: Read, Write

  • Save changes

3. Share the Bucket Information with Sybill

  • Go to the bucket's Properties tab

  • Copy the Amazon Resource Name (ARN)

  • Email support@sybill.ai with the subject line:

Offboarding - S3 Bucket ARN

Please include the ARN in the body of the email and CC privacy@sybill.ai


Option 2: Google Drive Transfer

This is a great option if your organization primarily uses Google Workspace and has access to GCP.

Prerequisites

  • A Google Cloud Platform (GCP) account with admin access

  • Google Drive with enough storage space

Setup Process

1. Create a Service Account

  • Navigate to IAM & Admin > Service Accounts

  • Click Create Service Account

  • Name it something like Sybill-recordings-transfer

  • Click Create and Continue

  • Add the following roles:
    - Storage Object Creator
    - Storage Object Viewer

  • Click Done

2. Generate Credentials

  • Click on the newly created service account

  • Go to the Keys tab

  • Click Add Key > Create New Key

  • Select JSON format and click Create
    - This will download a credentials.json file—please keep it safe

3. Set Up a Google Drive Folder

  • Create a folder in your Google Drive

  • Right-click and select Share

  • Share it with the service account email (it looks like: service-account-name@project-id.iam.gserviceaccount.com)

  • Give Editor access to this service account

4. Share Details with Sybill

Email support@sybill.ai with the subject line:

Offboarding - Google Drive Setup

Please attach the credentials.json file and include the Google Drive folder ID (you can find it in the folder’s URL). Don’t forget to CC privacy@sybill.ai too.


Security and Privacy

Your data’s security is our top priority.

  • AWS S3: Sybill’s access is restricted to the specific actions needed for file transfer

  • Google Drive: Our service account will only have access to the folder you shared—nothing more

We kindly ask that you review your sharing settings after the transfer is complete and revoke access if needed.


Frequently Asked Questions (FAQs)

Q: Can I export only a few recordings instead of all?
A: At this time, we only support full exports during offboarding. For individual recordings, you can still download them call by call from the app.

Q: What if I want transcripts and next steps as well?
A: Currently, our bulk exports include only the media files. If you need more data, please contact your Sybill representative—we’d be happy to explore how we can help.

Q: How long does the transfer take?
A: Once we receive your setup details, transfers typically begin within 2–3 business days. We’ll notify you as soon as it's complete.

Q: What happens if the Drive/S3 setup fails?
A: Please don’t worry. Just reach out to support@sybill.ai, and we’ll walk you through troubleshooting or offer alternatives.
