Sybill’s AI Tasks helps you keep a tab on your action items automatically capturing the pending action items or steps from your meetings and deals. It also auto-detects & updates once you have executed these actions.
AI Tasks are presented in a single, streamlined view, making it easier to track what needs to be done, when, and in which context.
In this guide, we’ll walk you through how to navigate and use the AI Tasks feature effectively.
Accessing AI Tasks
To find the AI Tasks page, please follow these steps:
Once you log in to Sybill, please navigate to the left-side panel.
Click on AI Tasks, located right below ‘Deals’.
On this page, you’ll see all pending tasks assigned to you, helping you focus on your to-do list captured from all your meetings & emails.
This page only shows tasks with due dates ranging from the last 30 days to the next 30 days. If you need to find tasks outside this range, you can locate them under a specific meeting or deal workspace.
Understanding AI Tasks
The AI Tasks page consists of several key components:
Sybill Copilot Ask Me Anything: This is a chat bar, located at the top, allows you to ask any questions about your meetings, deals, accounts, and action items. You can also use it to generate emails, sales collateral, and tips to handle objections.
AI Tasks Table: Displays all your pending action items, along with their creation date, due date, and associated deal (if any).
Group By Feature: Enables you to categorize your pending tasks by deal, which can be particularly useful for managing multiple deals at once.
Filters: You can refine your AI Tasks view by:
Creation date
Due date
Specific deal
Deal status, amount, stage, close date, and owner
Search: Locate specific next steps or deals quickly.
Completing AI Tasks: Mark tasks as completed by clicking on the checkbox next to each item.
You can also switch on the toggle to view completed items.
Manually Adding AI Tasks
While Sybill automatically extracts pending tasks from your meetings and deals, you can also add them manually:
Click on the ‘+ Add Tasks’ button in the top right corner.
Enter the next steps details.
Associate it with a deal if needed.
Set a due date and assignee.
Click ‘Add Task’.
This ensures that no important action items are missed!
Grouping and Sorting Next Steps
To get a clearer overview of your tasks, you can group them by deal:
Click on the ‘Group By’ button.
Choose how you’d like to sort your tasks:
Alphabetically
By amount
By deal stage
By close date
Select ‘First to Last’ or ‘Last to First’ ordering.
If you’re a sales rep managing multiple deals, this feature will help you focus on the most important opportunities.
Auto-Update of AI Tasks Status
This feature will detect when an action item has been fulfilled based on email or meeting activity.
For example, if you previously marked that you would send an email to a prospect, and we detect that the email was sent, Sybill will prompt you to confirm the status update that the task was indeed completed.
This feature reduces manual effort and ensures that your AI Tasks remain up to date.
When a new call or email related to a deal is received, Sybill will automatically check for any open next steps linked to that deal. If relevant information confirms their completion, Sybill will update their status accordingly and ask for your confirmation, reducing manual task management.

1. Why don’t I see some of my tasks on this page?
This page only shows next steps within the last 30 days and the next 30 days. If you are looking for tasks beyond this range, please check the specific deal or meeting where they were created.
2. Can I assign tasks to other team members?
Currently, the Next Steps page only shows tasks assigned to you. However, you can manually create next steps and add assignees there.
3. How do I remove completed tasks from my view?
Click on the ‘Completed’ toggle to hide or show completed next steps in your list.
4. Can I bulk complete multiple next steps at once?
At the moment, each next step needs to be marked complete individually. However, auto-completion will soon streamline this process.
5. Can I integrate AI Tasks with other tools?
Yes! Sybill integrates with your CRM, automatically pulling in action items and next steps to keep everything aligned.
Troubleshooting
Issue: I don’t see any tasks on my page.
Ensure that your date filters include the time range you’re looking for.
Check if your next steps are associated with a deal or meeting outside the visible range.
If you’re a product manager or a role that does not own deals, you may not have next steps assigned to you.
Issue: My AI Tasks are not being extracted automatically.
Confirm that your meetings and deals have been properly synced with Sybill.
Check if your CRM integration is active and correctly linked.
If issues persist, try manually adding next steps.
Issue: I am not receiving notifications for auto-completion.
Ensure that your email settings allow Sybill notifications.
Check if auto-completion has been enabled for your account (coming soon).
